Who we are
Visibly AI helps UK businesses get found and represented correctly on Google, Apple Maps, Bing and AI assistants. We are based at 5 Kew Road, Richmond TW9 2PR. For anything about your data, email hello@visiblyai.co.uk. Visibly AI, a trading name of USI Consulting Ltd (registered in England and Wales, company number 12156189), is the data controller for the information described here.
What we collect
- From the free check form: your name, business name, town or postcode, website address, phone number, email address, how you'd like to be contacted, and your answers to our questions.
- From the contact form: your name, email address, optional phone number and business name, the topic, and your message. We use it only to reply to you. We don't send an automatic reply, and we keep these messages for 12 months unless they lead to work.
- From the self-check: your answers (up to 12), your score, your name, business name, website, email address and mobile number.
- Where you came from: ad and campaign tags in the link you clicked (for example utm_source, fbclid, ttclid, gclid).
- If you allow cookies: measurement data from Meta, TikTok and Google Analytics about visits and whether the form was sent.
- If you become a client: the business details and account access needed to do the work, and invoicing details.
Why we use it, and our lawful basis

When you send a form with your email address, we send you one confirmation email with what happens next and how to reach us. We don't sell your data and we don't send marketing emails unless you ask for them.
Who we share it with
Only with services that help us run the business, under their own data protection terms:
- Our website host, whose mail system delivers the form to our inbox. If that is unavailable, a backup form service (Web3Forms or FormSubmit) does it instead.
- Our email provider and website host.
- Google Fonts, which serves the typefaces on this site and can see your IP address.
- Meta, TikTok and Google, only if you click Allow on the cookie banner.
Some of these providers may process data outside the UK. When they do, they rely on UK adequacy regulations or standard contractual clauses.
Cookies
We remember your cookie choice in your browser. Advertising and analytics cookies load only after you click Allow. To change your mind, clear this site's data in your browser and choose again.
How long we keep it
- Free check enquiries that don't go further: 12 months, then deleted.
- Client records and invoices: 6 years after our work ends, as UK tax law requires.
Your rights
You can ask to see, correct or delete your data, to restrict or object to how we use it, or to take a copy with you. Email hello@visiblyai.co.uk and we'll reply within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change this policy, we'll update the date at the top of this page.
